Job Description:
The Port of Anacortes is searching for an experienced Administrative Assistant with the ability to plan, prioritize, and organize a diversified workload who will thrive in a highly dynamic and fast-paced, office environment with minimal supervision. You'll be working primarily at the Port's main office supporting the Planning, Properties and Environmental department. You have the opportunity to provide excellent customer service to Port staff and customers to ensure they have a first-rate experience. Your Day-to-Day: (Essential Functions)

  • Assist with development and maintenance of consultant and small works rosters.
  • Track and verify Certificates of Insurance for Port lease tenants, contractors, service providers, and consultants.
  • Assist with the preparation and processing of contract payments.
  • Assist with reimbursement requests for Federal, State, and local grants, as well as other funding partners.
  • Assist with the continued development and management of the Port's GIS system.
  • Provide general support for administering Port tenant leases.
  • Perform basic property research including using Skagit County Auditor, Assessor and other resources.
  • Organize and maintain paper and electronic filing systems for records, correspondence, and other material, including Project Binders, Permit Files, and Project Management and Event Management database.
  • Provide project bidding support, including the production of bid packets, maintenance of planholders lists, and development/distribution of project addenda.
  • Provide construction administration support, including attending construction progress meetings and preparing meeting minutes for distribution.
  • Assist with preparation and submittal of permit application packets.
  • Oversee and maintain Port's Environmental SharePoint site.
  • Assist with the development of operational business processes in procedure manuals and work instructions.
  • Prepare or assist with the preparation and publication of legal notices for the Port.
  • Provide administrative services, including scanning, filing, file maintenance, and presentation preparation.
  • Work a Monday-Friday schedule with occasional evenings, weekends, and holidays with significant advanced notice.
  • Perform other duties, responsibilities, and special projects as assigned.

What You Need to Bring to the Team: (KSAOs)

  • 3+ years administrative support experience with expert level Microsoft skills. (Administrative experience in real estate, property management, or construction related field is a plus.)
  • Excellent customer service, communication, and computer skills.
  • Must have or be able to obtain a valid driver's license.
  • Following an offer of employment and prior to starting work, pass a pre-employment drug screen at no cost to you.
  • Physical ability to perform all essential functions of the job. Physical demands include repetitive computer usage, including seeing and adjusting focus at close distances; sitting at a computer workstation for extended periods of time; standing for extended periods at Port-run events; hearing, speaking and understanding the spoken word in order to respond promptly to calls for assistance, to answer telephones, and to be able to communicate; operating office equipment; occasionally lifting, carrying and putting away parcels weighing up to 20 pounds.
